Overview

This mobile application empowers field technicians with instant access to comprehensive location-based work histories, enabling informed decision-making and efficient problem resolution on-site. By digitizing work notes and maintenance records, the app eliminates reliance on paper trails and reduces time spent searching for critical information.

Strategy

The strategy focused on creating a mobile-first solution that prioritises speed and usability in challenging field conditions. Beginning with discovery workshops involving technicians to understand pain points in accessing work histories, the MVP was to emphasise core functionality: location lookup, note viewing, and simple entry creation with offline capability. We would implement a phased rollout, starting with a pilot group to gather real-world feedback before wider deployment. 

Design

Our design process began with paper prototypes to rapidly test concepts with technicians in the field. We created detailed journey maps documenting their workflow from job assignment through completion. Low-fidelity wireframes enabled quick iterations based on user feedback. High-fidelity prototypes in Adobe XD helped validate interactions before development, ensuring intuitive navigation and efficient task flows.

Key Features

Location-Based Access : Technicians can quickly pull up any site’s complete work history using GPS coordinates, address search, or QR code scanning. This ensures they arrive prepared with relevant context about previous issues, recurring problems, and attempted solutions.

Comprehensive Work Notes : Each entry displays detailed notes from previous visits, including diagnostic findings, parts replaced, repair methods used, and follow-up recommendations. Photos and video documentation can be attached to provide visual context, particularly valuable for complex installations or recurring issues.

Smart Search and Filtering : Users can filter history by date range, technician name, issue type, or equipment serviced. This helps identify patterns and trends, such as frequently failing components or seasonal problems requiring preventive maintenance.

Offline Capability : Since technicians often work in areas with poor connectivity, the app syncs recent location data for offline access. New notes are stored locally and automatically uploaded when connection is restored, ensuring no information is lost.

Easy Note Creation : After completing work, technicians can quickly log their activities using voice-to-text dictation, pre-filled templates, or manual entry. Required fields ensure consistency while allowing flexibility for detailed explanations when needed.

This solution reduces duplicate diagnostics, minimizes repeat visits, and facilitates knowledge transfer between team members. New technicians benefit from institutional knowledge, while experienced staff can quickly reference their own previous work.
